Write-ups & approvals

Write it once. Decide with the full story.

Capture the opportunity while the conversation is live, show the buyer a clean view of their deal, and give managers everything they need to say yes with confidence.

Fit the moment

The right level of detail for every moment.

The first floor conversation and the manager's commercial review need different levels of detail. Autopilot lets one deal grow with the conversation, without duplicate versions.

01

Quick

Capture the moment.

Start with the customer and vehicle while the conversation is moving. Capture the essentials now, then add the rest as the deal develops.

An opportunity is not a sale yet

Nothing becomes Sold before it is ready.

Save the opportunity immediately, then keep it out of the live sales log until the customer has signed, the deposit is recorded, the manager has approved it, and your required details are complete.

Speed with the right controls

Move quickly without losing control.

Autopilot turns the first sales conversation into a deal the team can price, present, review, approve, and complete together. Every figure, document, note, and decision stays in one place.

01

Start fast, then add detail without starting again.

Quick mode captures the customer and vehicle in the moment, including any other details your dealership considers essential. The opportunity is recorded without slowing down the conversation.

Customer mode adds everything needed to work through the deal with the buyer while keeping dealership-only figures hidden. Full mode gives authorised staff the costs, margin, profit, rebates, finance details, and internal notes needed to finish the commercial picture.

02

Make the write-up fit the way your team sells.

Use different write-ups for different dealerships or sales channels, and shape the customer-facing and internal views for the people who use them.

Choose which fields appear, what order they follow, which ones are required, and the language your team sees. Add your own fields and options without losing a consistent deal record.

03

Turn the screen to the buyer with confidence.

Customer view hides stock price, cost, margin, rebates, write-back, gross profit, and internal working while leaving the figures the buyer is being asked to agree to on screen.

Your existing role and field access still applies, and customer view resets when the page reloads so it is not accidentally carried into the next conversation.

04

Give every buyer a clear, professional write-up.

Create a branded customer write-up with the buyer, vehicle, pricing, trade, finance, conditions, acknowledgements, and signature areas already in place.

Choose the content and wording your dealership needs while keeping the finished document consistent and easy to read. Add dealership-specific disclosures on a separate page when required.

05

A saved opportunity does not become a sale too early.

Drafts stay out of the live sales log and pipeline until the customer has signed, the deposit is recorded, and a manager has approved the deal.

Sending a deal to a manager asks for a decision; it does not count as approval. If the manager returns it, their notes stay with the draft so the salesperson knows exactly what needs to change.

06

Set the standard every sold deal must meet.

Choose what must be complete before a deal can become Sold or Delivered, from customer and vehicle details to pricing, finance, dates, signatures, payments, and dealership checks. When something is missing, Autopilot names it clearly.

Once the signatures, deposit, approval, and your Sold requirements are complete, the deal enters the sales log and pipeline automatically. Managers can make an exception when needed, with a clear record of who approved it.

From conversation to record

Let speed start the deal. Let control finish it.

Capture the opportunity, build confidence with the buyer, give managers the full picture, and move forward when the deal is ready.
